What we collect

When you enquire or book with us we may collect:

• Name, email address, and phone number
• Event details (date, time, venue address, guest numbers, themes)
• Messages you send via our contact form
• Contract and payment status related to your booking
• Technical data such as IP address when you sign a contract online (for audit purposes)

We do not use advertising or analytics cookies on this website.

Why we use your data

We process personal data to:

• Respond to enquiries and provide quotations
• Manage bookings, contracts, and payments
• Send transactional emails about your booking (via our email provider Brevo)
• Meet legal and insurance requirements

Our lawful bases are contract (to perform a booking), legitimate interests (running our business and communicating with you), and consent where you agree to our booking terms.

How long we keep data

We keep booking records for up to seven years after your event for tax, insurance, and dispute purposes. Enquiries that do not become bookings are deleted within 24 months unless you ask us to remove them sooner.

Who we share data with

We use Brevo to send transactional email. Data is stored on our self-hosted server in the EU (Hetzner Cloud, Germany). We do not sell your personal data.

Your rights

Under UK GDPR you may request access, correction, deletion, or restriction of your data, or object to certain processing. Contact hello@paintedpanda.co.uk. You may also complain to the ICO at ico.org.uk.

Changes

We may update this policy from time to time. The effective date at the top will change when we do.
